For tax and bookkeeping practices

One tax practice already runs on this. I can set up the same platform for yours.

CK Reynolds Tax Service in Pueblo, Colorado runs client intake, documents, appointments, payments and reporting through one system I built. It doesn't prepare the returns. You keep your tax software for that. I'll set up the same platform as a separate copy for your practice, with your name on it.

In daily use at a working tax practice since March 2026.

What I get called about

Every new client gets typed in three times

Once in the spreadsheet, once on the engagement letter, once wherever you track the work. Somebody misses a field and nobody finds out until April.

Intake happens once. That record follows the client through the rest of their file.

Documents show up by email and sit in an inbox

A W-2 here, a sideways photo of a 1099 there. You go looking for them in February, then again in April.

Clients upload to their own portal. The files go to encrypted storage, and the links to them expire.

You can't tell at a glance where a client stands

Waiting on a document? Waiting on you? Waiting on payment? You open three things to find out.

Clients, documents and payments sit in one back office, so the answer is one screen away.

Getting paid is its own chore

The invoice goes out by email. Then somebody has to check whether it was paid.

Payment runs through Square checkout inside the same system, and it shows up in the same back office.

Booking an appointment takes phone tag

Two voicemails and a text to settle one Tuesday at ten.

Clients book online and see their appointments in the portal.

Social Security numbers live in spreadsheets and inboxes

Signed documents and tax IDs in places nobody ever locked down.

Clients sign in with two-factor login. The database itself limits each person to their own records.

Your own copy of the platform

$5,000–$20,000

The first one went live in March 2026. I'll tell you what to expect for yours after we talk.

  • The same platform, set up on your own domain.
  • Your own database. No other practice shares it.
  • Your branding, your services, your prices.
  • The accounts and passwords handed to you at the end, so it's yours.
  • A price fixed in writing after a short call, before I start.

Questions worth asking

Is this the same software CK Reynolds uses?

It starts from the same foundation. Yours is a separate copy. Your clients, your records and your branding stay in your system, and nothing from another practice is in it.

Does it prepare returns?

No. You keep whatever you prepare returns in now. This is everything around the return: intake, documents, appointments, payments, and where each client stands.

Do I own it?

Yes. When I'm done, the accounts and passwords come to you. It's your system, not a subscription to mine.

What does it cost?

Platforms like this run $5,000 to $20,000. I haven't priced your copy yet because it depends on what your practice needs. After a short call I'll put a fixed price in writing.

How is client data protected?

Clients sign in with two-factor login. Uploaded files go to encrypted storage, behind links that expire. The database restricts each person to their own records, and there's a 97-test security suite behind that. I can walk you through it on the call.

I'm not in Chicago. Does that matter?

No. I'm based in Chicago, but the platform is a website and a client portal. The practice running on it now is in Pueblo, Colorado. If you are in Chicago, I'm glad to meet in person.
